Event FAQs

The Annual Conference 2025 is a 3 day event for the Equal Experts network. The purpose of the event is to connect with peers, see old and friendly faces, meet new people, and celebrate the expertise within our network.

The Annual Conference 2025 is at JW Marriott Hotel, Pune from 12th September to 14th September, 2025.
Yes, even if you're based in Pune, please complete the conference registration form. You also have the option to stay at the hotel if you’d like. Accommodation is available for all attendees, as we’d love to have everyone together throughout the event.
Please choose appropriate options carefully when filling out the conference registration form and we shall take care of your travel arrangements. All bookings will be done based on your attendance for co-working and the conference. Please Note that the Co-working accommodation will be different from the Conference Hotel.

For colleagues in Pune and those joining co-working: You're expected to work in the first half of the day, either from home or office. By 12:30 PM we'll wrap up and head to JW Marriott to kick off the conference together.

For colleagues staying at Hyatt, Royal Orchid, and Novotel:Please check out in the morning and come to the office with your luggage so you can avoid extra trips. You’ll also work in the first half until 12:30 PM.

For colleagues travelling to Pune on the 12th:We understand travel timings may vary, so please manage your day in the way that works best for you.

The hotel has been pre-booked for the conference at the JW Marriott for all participants. Room allocations will be done randomly and details will be provided at the time of check-in. If you have any concerns, please contact the organising team or our event partner ‘SKIL Events’.
The hotel check-in time is 2 pm onwards on 12th of September. Early check-in would be subject to availability and readiness from the hotel's end.
The hotel checkout is on 14th September latest by 12 pm. Please plan accordingly as per your travel plans.
Although your IDs have been submitted in advance as part of the registration form, it’s a good idea to keep them handy in case the hotel requests them.

As these are bulk bookings and allocations are done randomly. However, if you have any specific requirements (health, accessibility, etc.), please mention them in the registration form and we’ll do our best to accommodate.
Plain room rent including the mentioned meals is on EE. Anything extras to be borne by Employees themselves.
  • Travel Arrangements: Associates are responsible for booking and funding their own travel to the Co-working / Conference in Pune.
  • Accommodation Sponsorship: EE will cover one night’s stay only (check-in 13th September, Conference Day 2). Any additional nights must be arranged and paid for individually.
If your plans change after registering, please notify the organising team as soon as possible so appropriate updates can be made to room and travel bookings.
Yes, you may extend your stay subject to room availability. Please coordinate directly with the hotel for additional nights at your own expense.
Yes. The idea of the conference is for you to know, network and collaborate with EE colleagues who will be at the conference. However there are some parallel tracks to choose from based on your interests.
No, the conference is designed to be an in-person, participatory experience. Sessions will not be recorded unless explicitly mentioned.
The conference will include engagement activities, informal networking opportunities, and some fun evening sessions. More details will be shared in the agenda.

Yes, Coaches have been arranged from the office and will leave at 1:00 PM sharp for JW Marriott.

Airport Transfers have been arranged for those arriving on 12th in Pune.

Yes, hotel can accommodate personal vehicles.
The conference and hotel arrangements are intended for registered participants only. Unfortunately, we are unable to accommodate guests or family members as part of the event logistics. If this is hindrance for you to attend the conference, please reach out to the organising team
We recommend carrying smart casuals for the sessions, and comfortable wear for evening networking and travel. Don’t forget to bring essentials like ID proof, medications, chargers, and any personal items you may need.
